Use StaffNest in Discord

Open your personal workspace and manage tasks, absences, departments and meetings in Discord.

Run /staffnest in your community’s Discord server to open your personal workspace. The bot and panel share the same records, so you do not need to enter changes twice.

The bot must be installed and your Discord account must be recognized as an authorized staff member. An existing member can start with /staffnest; they do not need to run /setup or become a Discord administrator.

Open Preferences to choose English for your personal interactions. Server-wide notifications use the language selected in Settings → General → Bot language. Names entered by the team are not automatically translated. Private menus and confirmations use your saved preference, or your Discord language if you have not chosen one. The command names shown in this guide are those displayed when Discord itself is set to English.

/setup requires Discord’s Manage Server permission. Its guided steps cover:

  1. Activation. The Discord owner can activate the workspace. Depending on the account and server state, a personal link may be offered to connect your Discord account. Use it with the account that ran the command; do not share it.
  2. Staff roles. Choose a team role, review the summary and confirm importing that role and its members. Repeat for your other staff roles. Staff and rank management permissions are required. @everyone and bot-managed roles cannot be selected.
  3. Channels. Choose the notification type and channel, save it, and repeat for absences, meetings and reports before finishing.

The final summary shows the imported team, linked roles and channels. Have one imported member run /staffnest to verify access. The bot must be able to view the channels, send messages and embed links.

Imported members receive member access. Existing profiles and permissions are preserved; removed or blacklisted people are not reinstated. Include all relevant roles: later synchronizations can mark people inactive if they no longer hold a mapped role.

You can rerun /setup. On an existing workspace, request the necessary rights from its StaffNest owner. If the quick import cannot handle the server size, use full synchronization in Settings → Roles. If a personal linking URL expires, reopen the assistant to generate another.

Area What you can do
Tasks View tasks, progress and comments.
Absences Submit a request through a form.
Profile Check your rank, status and departments.
Departments Find accessible teams and their managers.
Meetings Review meetings and respond to invitations.
Help Open the ticket flow if support is configured.
Summary Review your tasks, assigned requests and upcoming meetings.
Preferences Choose your language and optional daily DM summary.

A disabled button means the feature is unavailable on the server or for that context. Refresh reloads the information; Home returns to the main menu. Opening the panel takes you to the same server.

Your menu is personal, but saving a task, comment or meeting response changes shared team data.

Run /tasks or open tasks in /staffnest. Select a task, read its context, then use the available action to start it, mark it blocked, complete it or return it to the to-do state. Add a comment when you need to explain progress or a blocker.

Filters show your tasks, all accessible tasks or completed work. Authorized people can change assignment, priority and deadline. To create a task, enter its details, choose the department, assignee, priority and deadline, review the summary, and confirm.

Task and comment drafts whose saving was confirmed can be resumed for seven days. Text still sitting in an unsubmitted Discord modal is not recoverable. If an action’s result is uncertain, use its check/retry action and inspect the task list before creating another copy.

Respond to meetings and manage departments

Section titled “Respond to meetings and manage departments”

With /meetings, choose a meeting and respond that you will attend, might attend or will be absent. Wait for the saved confirmation. Authorized people can also use guided meeting creation.

With /departments, open an accessible department and inspect the team. Management actions, when available, allow rank, department and follow-up changes according to panel permissions. If your list is empty, have a manager check your assignments.

  1. Open /staffnest → Preferences.
  2. Enable the DM summary.
  3. Set a whole hour from 0 to 23 and a timezone, such as Europe/London or America/New_York.
  4. Check the displayed schedule and saved confirmation.

This setting applies to the current server. At most one summary is sent per day, and only when there are relevant tasks, assigned requests or upcoming meetings. Missed days are not backfilled. Disabling these DMs stops the summary, not every other server notification.

If nothing arrives, check the schedule, whether there is anything to summarize, and Discord’s DM privacy settings. You can open the summary manually at any time.

The panel adds overview screens, Kanban, recruitment, wiki, training, automations and detailed settings. Discord is convenient for everyday actions. Refresh either view after a change.

Personal menus can expire. Rerun the command and use the latest menu; another person cannot use your personal controls. See all commands or troubleshooting when an action is missing.
