Get started with StaffNest

Connect your Discord server, prepare your team and check your first setup.

StaffNest brings your team, tasks and requests into a web panel connected to Discord. This guide is for the person setting up a community. Already joining an established team? Follow the member journey instead.

Use your own Discord account. To connect a server, you need to own it or have Manage Server permission. If your community already uses StaffNest, ask its owner to add your staff profile instead of creating another workspace.

  1. Open StaffNest in English and choose Sign in.
  2. Continue with Discord and check the account shown on the authorization screen.
  3. In My servers, choose Add a server or the server connection action.
  4. Select your Discord server and authorize the bot when prompted.
  5. Back in StaffNest, open its card with Manage server.

Expected result: your server appears in the list and opens its StaffNest workspace. Installing the bot does not automatically give every Discord member panel access; each staff member also needs an authorized staff profile.

If the bot is already installed, you can start with /setup in Discord. The Discord setup guide explains activation, role import and notification channels.

The website language, your personal preference and the server’s shared messages serve different purposes:

  • Select English in the website language menu. After signing in, check your language in My account.
  • In Settings → General → Bot language, select English and save for shared server notifications.
  • In Discord, open /staffnest → Preferences to choose your personal language. This preference is shared with your panel account.

Names, descriptions and messages written by your own team are not automatically translated. See account and language settings.

Work through these steps in order:

  1. Check the bot and notification channels.
  2. Create ranks and define panel permissions.
  3. Add staff members, manually or through Discord role synchronization.
  4. Assign their departments and functions.
  5. Add essential instructions to the wiki and create a simple task.

You can enable more tools later. Imported members do not automatically become administrators.

Before inviting the whole team:

  1. Check your own rank and panel role in Staff.
  2. Ask one staff member to sign in with their own Discord account and open the same server.
  3. In a staff-only Discord channel, run /staffnest and open your profile.
  4. Assign a small task to the member and have them complete it in the panel or Discord.
  5. Check notification destinations before submitting real absences, applications or announcements.

You are ready when both people see the same server and task, with the appropriate permissions. Overview and the action inbox help you find the next items to handle.

Check the connected Discord account first. For an existing workspace, ask the owner to check your staff profile and Discord ID. For a new installation, retry the server connection flow and check your Discord permissions. Reinviting the bot does not transfer an existing StaffNest server’s ownership. See troubleshooting.
