Organize departments and functions
Create teams, assign members and delegate work to department managers.
A department groups people who work together. A function describes a mission, such as recruiting or training. One member can belong to several departments and hold several functions.
You need Manage departments and functions. Assigning managers, changing delegations or linking a function to a Discord role also requires settings access.
Create a department
Section titled “Create a department”- Open Departments & functions and create a department.
- Enter its name, color and description.
- If appropriate, enable manager delegations for absences or department tasks and statistics.
- Save and open its workspace.
Start with actual teams, such as Moderation or Communications. A temporary responsibility such as Trainer may fit better as a function.
Add members
Section titled “Add members”Open the department, then use the team’s Add members action. Search, select the people and confirm. Their other assignments are preserved.
For one person’s complete set of departments and functions, open the assignments tab, find them and choose the assignment action. Their staff profile also links to assignment management.
Assign a manager
Section titled “Assign a manager”In a member’s assignment form, select the department, mark them as its manager, and save. Check the department’s delegation settings afterwards.
Manager status does not grant full panel administration. Delegations apply to the department only; an absence delegation does not let someone approve their own request. A profile’s follow-up manager is a separate role: see members.
Create a function
Section titled “Create a function”Open the functions tab, create a function and choose its name and color. Keep manual assignment, or link a Discord role if synchronization is wanted. Save, then assign manually from the member’s assignment form when appropriate.
A synchronized assignment comes from its Discord role. Removing that role removes that source; a separate manual assignment can remain. A function does not change the rank or panel permissions.
Work within the department
Section titled “Work within the department”The workspace shows its team, tasks and accessible absence requests. Authorized members can create and assign tasks; delegated managers can review relevant requests. Wiki pages can be limited to departments.
Available statistics cover 7, 30 or 90 days. Completed tasks per member use the current headcount; completion rate concerns tasks created during the selected period. A person in several departments counts in each. These figures do not measure work quality on their own.
A person cannot be assigned
Section titled “A person cannot be assigned”In assignments, inspect the unavailable-members area and open the profile to understand the reason: former staff, a manually inactive or warned status, blacklist, leaving Discord, or an account-access problem. Correct the actual situation before retrying.
On-leave profiles can keep assignments. Inactivity calculated from last activity is different from a manually inactive status. Clear searches and check the selected server too.
Archive a department
Section titled “Archive a department”Archiving disables the department and its delegations while preserving historical assignments. Show archived departments to find and restore it later. See the organization chart for a view across teams.
Check a function synchronization
Section titled “Check a function synchronization”For a function linked to a Discord role, Synchronize previews additions and removals using the roles already known to StaffNest. It shows the oldest cache timestamp and the last manual sync. You need organization-management and settings permissions. Review the names before confirming. If roles or assignments change during the preview, reload it first.
Members whose Discord roles are unknown remain unchanged. Removing a Discord source preserves an independent manual assignment. This action changes neither Discord roles nor ranks or permissions.
Department workspaces and the organization chart also show current approved absences and their end dates, without exposing their reasons.
