Add and follow up with members
Manage staff profiles, ranks, access and follow-up managers.
Managing profiles requires staff management. Changing ranks also requires rank management; assigning a panel role requires panel-role management.
Add a person
Section titled “Add a person”- Open Staff → Add member.
- Enter their Discord ID and check the loaded identity.
- Choose an optional rank and a panel role appropriate to their responsibilities.
- Save, then ask them to sign in with that same Discord account.
The profile appears in the directory. A rank does not automatically grant every panel permission. To import an existing Discord team, use role mappings.
Invite link provides a seven-day link to connect an existing staff profile. It does not admit arbitrary visitors or restore removed or blacklisted profiles.
Find the right people
Section titled “Find the right people”All shows current members; Former and Blacklist have separate tabs. Clear name, rank and panel-role filters when someone seems missing.
The directory and follow-up views help you find your own assigned members, managers, members without a manager and follow-ups needing reassignment. CSV export follows the selected filters or the explicit selection shown in the bulk-action bar.
Edit a profile
Section titled “Edit a profile”Open the member’s menu or profile and choose Edit. Change only fields permitted by your role, such as display name, rank, status, panel access and internal notes. The rank-change action also follows linked Discord role mappings; check the synchronization result.
If StaffNest reports that the record changed meanwhile, refresh it and review the new version before resubmitting your changes.
Understand status and activity
Section titled “Understand status and activity”- Active / Inactive: activity indicators use the last recorded activity with a 14-day threshold. A manually inactive status takes precedence.
- On leave: the profile indicates a period away from everyday team work; precise absence dates are in the absence calendar.
- Warned: a follow-up status; warning counts also appear separately.
- Former: removed from the staff.
- Blacklist: access is blocked and requires an authorized manager to lift it.
StaffNest activity is not Discord’s online indicator. A saved active profile can appear inactive after fourteen whole days without recorded activity. The warned filter also includes current members with warnings, even if their main badge is active.
Assign a follow-up manager
Section titled “Assign a follow-up manager”Open the profile’s follow-up section, choose a manager, add the reason, review the change and confirm. The assigned manager can find the person in their members view.
This assignment does not grant panel permissions. It is distinct from a department manager or an onboarding mentor.
Remove or reinstate someone
Section titled “Remove or reinstate someone”Remove from staff keeps the record under Former. Blacklist blocks access and is not an absence setting. For a returning member, find the existing profile and update its status. An authorized person must separately lift any blacklist. Check Discord roles and panel access before assigning work again.
Bulk status actions apply the same permission checks as individual edits. Review the selected people before confirming.
Next, assign departments and functions or prepare an onboarding journey.
